Why does offline capture matter?
A staff member may receive an invoice at a site, warehouse, or branch where a stable connection is unavailable. Requiring an immediate upload can push the work into personal chat threads or a pile of photos to sort later. Offline capture lets the collection step happen while the document is available.
The important design question is what happens next. Capturing an image locally does not mean finance has received it. Receiving a document does not mean it has been reviewed or approved. Teams need to understand those distinctions.
Define the states your team needs to see

These are suggested evaluation states, not a specification of every label in Invo. Ask to see the actual app behavior with connectivity turned off and then restored.
What should staff capture?
Use the complete invoice, including additional pages needed to explain the amount. Check focus, glare, cropped edges, and whether the invoice number and total are readable. Retain the original document image so finance can verify extracted fields against the evidence.
A short capture checklist is often more useful than a long training deck. Include what to do with an unreadable document, which business to select, and who to contact when the document belongs elsewhere. Avoid asking staff to guess accounting corrections.
How to test an offline workflow
Prepare a small set of representative sample documents. Capture one without connectivity, restore the connection, and observe the handoff. Repeat with more than one pending document. Check behavior when the connection drops during an attempted submission and when the same document is captured again.
Record what is visible to the staff member and to finance at each stage. Confirm any device storage, sign-out, or recovery requirements during setup. Do not assume every mobile app retains pending work in the same way.
